Notes/Activities/Plans/Projects:


* Time line: 6:30am: Captain will begin clearing all cars from the race route
7am to 12:30pm Still to be determined.
Suggestions:
  • Set up food court area starting at 9am
  • Set up delineation so that we can designate where we would like it to be a pedestrian zone only for the day. Captain has suggested that we leave the street open in front the the Cal Club so that cars can utilize that before and after the race passes through.
  • Bring in bleachers first thing in the AM
  • Delineate the area in between the firehouse and Cafe D for a secured bike parking area. This is a new idea, but may be worth considering.
  • NO hay bails will be used to delineate along the race route. Reason being is that if any hay gets on the road it can be slippery to the cyclists. We should plan on using the pole delineators and caution tape. The police will also man this.

    * Use of Logos: Amgen is very particular about using their marketing logo and branding, as well as selling items associated with Amgen. Please contact Alex at Tsudas for info about using their branded logos or promoting anything with their name on it.

    * Parking Lot: It appears we have secured Brian Hays’ parking lot, below Awful Annies, for use on May 16th. It looks like we will have it available, but its yet to be determined what will be located there.

    * Street Banners: If we get some large street banners, they are $85 each. The street poles have a potential 10 useable poles with appropriate clips that won’t be too low. 60" is a long banner so all the poles will not work. Balloons are also a possibility. We are considering doing four balloon arches coming down Lincoln Way.

    * Bleachers: It looks like we will be getting three risers (bleachers) to put at the intersection of Lincoln Way and Sacramento Street ( by the Post Office). They are $200 each. We can sit 50 people in each one, and could sell the seats for say $10 each and do a pre-sale with wrist bands. We’d have to do a press release for that.

    * Tsudas Park: We are working on getting the park next to Tsuda’s for another hospitality site.

    * Bootleggers Lot: Bootleggers is planning on having a Pancake Breakfast in their Parking Lot that morning, and a Beer Garden later in the day, possibly with music.

    * Live feed: Brian Roat is working diligently to get our feed to us so we can utilize the web for flat screen use.

    * Large Screen TV's: Laurie with the Trader maybe have secured a few large screen TV’s from Fowler's that w can position at key points in Old Town. Other are working on securing eben more.

    * Food: Restaurants will be providing and managing serving various foods. The easier the better especially if the health department doesn’t get involved.

  • Tsuda’s: Hot Dogs / Big cookies / Drinks
  • Brookside: Pulled Pork Sandwiches
  • OT Pizza: Pizza By The Slice/drinks
  • Edelweiss: Cold Turkey Sandwiches
  • Awful Annies: Sausage Sandwich with Sauerkruat
  • Bootleggers: Beer Garden, Hot Dogs, Burgers, and music
  • Ale House: No food vending on street, but special BBQ on their patio
  • MaryBelles: No street vending but open for business inside restaurant
  • Latitudes: No street vending but open for business inside restaurant


    * Sponsors: Getting sponsors would be a huge benefit for OT. Several people are invesitigating possible sponsors for the event: Bruce at the C of C, Alex Carnahan, Linda Robertson, Brian Roat from ABoutus.tv. If anyone wishes to assist us in that area, please call Linda Robinson at 530-888-1585.


    * Traffic Control/Street Closure: Everything is still to be determined, but will be finalized by Thursday, April 29th. That is the day that the APD has set for us to have all aspects of planned activities on paper and submitted to John Ruffcorn. The APD and CHP plan to close all streets on the race route to parking at 9am on Sunday till 2pm. The actual closure to vehicle traffic will occur about 30 minutes prior to the first cyclist coming through (approx 12:30 to 12:50)? John Ruffcorn indicated that APD wants to do whatever they can do to meet the needs of Old Town and Downtown, so he wants Old Town to tell him that they want to close the street(s) to traffic at a given time, then he will work that request into the timeline, the traffic detour route plan, and try to make it happen. In Downtown, Lincoln Way will be closed from Central Square to Pine St for an extended period of time, all other streets will remain open to traffic except when closed for the 30-minutes when the race comes through. I believe if we get just a few thousand people, parking is going to be a challenge, if we get the many thousands of people some are saying could occur, parking and traffic will be more difficult, and we will all experience something we will remember and talk about for years to come.

    * Billboard: The billboard is going up for Old Town on May 3rd and will stay up until May 24th (3-weeks). What we are working on, and trying to do, is raise the sponsorship dollars (approx $400) to have a billboard banner made locally that would go up over the copy on Friday afternoon (May 14th) and come down to again reveal the billboard on Monday morning (May 17th). The billboard message would say something like Auburn , CA, Endurance Capital of the World ~ Welcomes Amgen Tour of California. This is going to be a promotional event for Auburn that is going to pay ividends beyond the Amgen weekend. The billboard is one more promotional piece to make this happen.

    Other Event ideas and discussions in progress:

    We have asked the city to consider having a "producer" in place to manage events in both downtown and old town.
    We have also suggested that we get the Sierra Six Guns and Side Kicks to do 1 show during the day before the race and 2 more after the race. Downtown is also interested in doing this.
    We should think about music and think quick. Band, speakers, ??? We can maybe get the Tsudas Banjo player to stroll around??

    The city would like to see a confirmed list of food vendors from our local restaurants so we can fill any gaps from outside sources if need be.

    Funds still needed to see the possibilities come to fruition. Alex has come up with a tentative marketing idea that the city has accepted and the chamber is endorsing. She have secured up to 24 golf carts from the surrounding country clubs. These carts will circle the race route pre and post race in groups of 6 or 4. Each golf cart is being "sold" for $1k and a consistent advertising design will go on each to represent the business who purchased the cart. With this the business will get a video shoot of their company for future City of Auburn publications and their own use, marketing and video promotion at the Home Show and Fast Fridays, along with media representation in the Auburn Journal special section.

    Alex has sold 2 so far. One to Auburn Toyota and One to Recology (Auburn Placer Disposal). If anyone knows of any other businesses let her know. We have a list we are working off of but would love merchant insight also.
